How to manage a group:
Types of members in the Group
- Company owner
- Admin
- Sub Admin
- External Users
Company Owner have access to 1) Documents 2) Groups 3) Analytics 4) Q&A 5) Setting
6) Create a new workspace.
Admin have access to 1) Documents 2) Groups 3) Analytics 4) Q&A
Sub Admin access can be customised by Company owner
External Users have access to 1) Document 2) Q&A
Process to edit permission of Sub Admin:
Step 1: Select Sub Admin and right click on the user name and proceed with Workspace permissions.
Step 2: Assign the permissions to the Sub Admin [In below example sub admin can upload a new data, add a group and invite external users to the group and assign permission to the data room]
Process to create a external group:
Step 1 : Login to the data room using email ID and password
Step 2: Enter the relevant workspace
Step 3: Click Group Icon and select Add Group
Step 4: Enter the group name and click save icon.
External Group will be created.
Process to add members in the group:
Step 1: Select the Group name [If you want to add users in group Investor then click the group Investor]
Step 2: Select Invite Icon and enter the email address of the user and click Send to Recipients Icon.
Step 3: Invitation link will be sent to the email address of the user. [User has to select Accept Invite Link and proceed with the registration]
Step 4: User has to fill the Sign up Details and Click Submit.
Now the user is active in the data room.
Process to give permission to the group:
Step 1: Select the group name and click Permission icon and proceed with File Permissions
Step 2: Select the permissions you want to assign to the group [In below example Investor group will have only view permissions to Finance and Legal folder and Download encrypt access to R&D Folder]
Step 3: If you want to customise the permission to files inside the folders then select the folder and give access to the particular files. [In below example Investor Group has download pdf access to file FY 2022 inside the Finance folder]
Step 4: Click the submit icon and select yes or no to notify the user and send.
Permission is granted to the Investor Group. Members in the group can now access the data.
To remove the users from the data room, right click on the user name and select Remove icon.
Click the Delete icon. Users will be removed from the data room.
